About the position

NewPath Counseling Group is seeking a dedicated Executive Assistant to provide high-level administrative support to our president. The ideal candidate will be responsible for managing schedules, coordinating meetings, handling confidential information, and ensuring the smooth operation of daily activities. This role plays a crucial part in maintaining efficient communication and organization for a busy executive. The Executive Assistant will work in a modern office setting, where food is provided, and flexible working hours are available. The position is part-time, with expected hours ranging from 25 to 35 per week, and offers a pay rate between $17.43 and $18.22 per hour. The Executive Assistant will manage the executive's calendars, schedule appointments, and coordinate meetings. They will handle sensitive and confidential information with integrity and professionalism, perform data entry tasks accurately and efficiently, and utilize Adobe Acrobat for document management and electronic signatures. Additionally, the role involves maintaining phone systems, answering calls, and directing inquiries appropriately, demonstrating exceptional phone etiquette and customer service skills. The Executive Assistant will assist with various administrative tasks to support the executive's daily operations and utilize QuickBooks for basic financial record-keeping tasks. Coordination with clients and external partners will also be part of the responsibilities, along with maintaining and updating the Outlook Calendar for appointments and events.

Responsibilities

Requirements

  • Proven experience as an Executive Assistant or similar role in an administrative capacity.
  • Proficiency in computer literacy with a strong understanding of Microsoft Office Suite.
  • Familiarity with QuickBooks for basic financial tasks is preferred.
  • Excellent organizational skills with the ability to multitask and prioritize effectively.
  • Strong communication skills, both written and verbal.
  • Ability to maintain confidentiality and handle sensitive information with discretion.

Nice-to-haves

  • Experience with Microsoft Excel (1 year preferred).
  • Experience with Microsoft PowerPoint (1 year preferred).
