About the position

As an Executive Assistant at CIBC, you will play a crucial role in managing the day-to-day administrative activities of the department, ensuring that operations run smoothly and efficiently. This position requires a strong set of administrative and organizational skills to support various activities, including calendar management, invoice processing, travel booking, and preparing correspondence. You will be responsible for screening and evaluating emails and correspondence, exercising independent initiative and judgment in managing special projects on behalf of teams, and planning and following up on details regarding conferences. Additionally, you will assist in implementing operational plans, make decisions on daily priorities, and develop and maintain administrative procedures and processes. Coordinating meetings and processing expense accounts will also be part of your responsibilities. In this role, you will maintain and monitor the executive's calendars, coordinate agendas, send meeting invitations, and arrange for necessary resources to facilitate smooth meetings. You will also be tasked with arranging travel and maintaining travel expense accounts, including processing expense reports and invoices. Your professional support will include preparing standard correspondence, minutes, reports, and presentations, often of a confidential or strategic nature, ensuring that all materials are produced in a timely manner. You will coordinate leadership team meetings, assist with onboarding and offboarding activities for employees, and act as a delegate for executives and their direct reports as needed. Responsibilities

Requirements

  • Experience as an Executive Assistant in a highly professional and confidential environment.
  • Excellent verbal and written communication skills to interact with a wide range of individuals.
  • Strong command of MS Office suite including Word, Excel, PowerPoint, and Outlook.
  • Critical thinking skills to inform decision-making and attention to detail.
