About the position

The Executive Assistant will provide direct administrative support to the Director of Regenerative Food Systems and the Co-Director of Regenerative Food Low Emission Beef within the Provide Food & Water Business Unit at The Nature Conservancy (TNC). This role is crucial in ensuring the smooth operation of the team by managing various administrative tasks. Responsibilities will include arranging domestic and international travel, managing calendars, answering phone calls, drafting correspondence, processing expenses, and coordinating logistics for meetings and special events. The Executive Assistant will work independently on assigned tasks, exercising judgment based on analysis and experience, and will be expected to navigate a diversified work environment that may not always adhere to established practices and guidelines. In addition to administrative duties, the Executive Assistant will coordinate projects that involve multiple variables, working within defined timelines and budgets. They will handle sensitive information with discretion, ensuring compliance with TNC policies and external requirements. The role also involves making purchases, processing invoices, contracting with vendors, and assisting in budget preparation. The Executive Assistant will provide input for the improvement of existing programs and will refer complex questions and unusual problems to their supervisor. This position requires flexibility in working hours and may involve travel, although the work environment is generally stable with only minor physical demands. TNC is looking for a candidate who is passionate about conservation and has strong experience working in diverse, multi-disciplinary teams. The ideal candidate will possess exceptional communication and collaboration skills, along with a proven track record of providing administrative support to directors or multiple directors. Responsibilities

  • Provide direct administrative support to the Director of Regenerative Food Systems and the Co-Director of Regenerative Food Low Emission Beef.
  • Manage domestic and international travel arrangements.
  • Handle calendar management and scheduling of meetings.
  • Answer phone calls and draft correspondence.
  • Process expenses and manage invoices.
  • Coordinate logistics for meetings and special events.
  • Exercise independent judgment on assigned tasks based on analysis and experience.
  • Ensure compliance with Conservancy policies and procedures and external requirements.
  • Make purchases and assist with budget preparation.
  • Provide input for the improvement of existing programs.

Requirements

  • Bachelor's degree and 2 years' experience or equivalent combination.
  • Experience generating reports and interpreting data.
  • Experience in business writing, editing, and proofreading.
  • Experience organizing time and managing diverse activities to meet deadlines.
  • Experience working across teams and communicating with a wide range of people.

  • Multi-lingual skills and multi-cultural or cross-cultural experiences.
  • Ability to analyze information to coordinate and plan activities and solve problems.
  • Experience using Outlook, Concur, Zoom, and other technology to achieve desired results.
