About the position

The Executive Assistant will provide comprehensive support to the Senior Vice President of Strategic Initiatives and his team, which includes Strategy Development & Growth, Corporate Development, Sustainability, and Communications. This role is crucial for managing the department's meetings, trainings, and travel arrangements while ensuring confidentiality and professionalism in all interactions.

Responsibilities

  • Manage complex calendars for multiple executives, including scheduling business and personal appointments.
  • Coordinate and prepare for meetings, conferences, and events, including agenda preparation, meeting minutes, and follow-up actions for executives.
  • Coordinate complex travel arrangements (domestic and international) for multiple executives, department leaders, vendors, and outside business partners.
  • Conduct research and compile data to prepare reports, presentations, and briefing materials for executives.
  • Create, establish, and maintain confidentiality and secure department documents and filing system.
  • Oversee administrative functions and ensure smooth operations within the executive office.
  • Coordinate complex accounting activities including multiple expense reporting, complex invoices, and purchase orders.
  • Screen and prioritize incoming calls, emails, and correspondence, directing them as appropriate.
  • Create, produce, distribute, and compare reports; perform basic to intermediate analysis of report summaries.
  • Complete ad hoc special projects as assigned.
  • Seek to improve job performance through self-assessment, skill development, training, and goal setting.
  • Maintain a regular and reliable level of attendance and punctuality.
  • Perform miscellaneous job-related duties as assigned.

Requirements

  • Five (5+) years or more of administrative experience supporting one or more executive leaders.
  • Type 60 or more wpm with accuracy.
  • Proficiency in MS Office support tools.
  • Ability to sort, alphabetize, and number documents in a timely and organized manner.
  • Ability to maintain confidential information and discretion.
  • High School Diploma/GED.
  • Must be authorized to work in the United States and not require work authorization sponsorship by our company for this position now or in the future.
