About the position

The Executive Assistant at Baxter plays a crucial role in supporting the site leader and management staff with various administrative duties and creative communication efforts. This position is essential for facilitating corporate interactions and ensuring smooth operations within a fast-paced corporate environment. The Executive Assistant will handle a variety of projects, manage executive schedules, and contribute to site-wide communications, all while maintaining a high level of professionalism and confidentiality.

Responsibilities

  • Handle the planning and execution of events such as company picnics, celebrations, and quarterly meetings.
  • Screen calls, manage calendars using Outlook, and handle expense management through Concur.
  • Coordinate and support leadership team meetings and projects.
  • Develop creative communication strategies to engage the site workforce, including articles, videos, and presentations.
  • Prepare correspondence and written materials, including organizational announcements and reports.
  • Report departmental expenses and lead functional reporting.
  • Maintain spreadsheets and collect data to support the Mountain Home plant.
  • Provide catering support for visitors and manage supply acquisition through approved vendors.
  • Assist with staffing activities, including coordinating interviews and onboarding processes.
  • Create purchase and service requisitions according to purchasing policy and budget guidelines.

Requirements

  • High School Diploma is required; Associate's or Bachelor's degree in Business, Marketing or a similar area is highly desirable.
  • At least 2 years of related experience in administrative support for corporate executive leadership.
  • Proficient in Microsoft Office Suite (Outlook, Excel, PowerPoint, Word).
  • Polished written and verbal communication skills, capable of interacting with senior leadership.
  • Experience working with a geographically dispersed team.
  • Strong organization and project management skills, with the ability to prioritize multiple requests.
  • Sensitivity to confidential matters.
