About the position

The U.S. Office of Certain Foreign Organization is a newly established government-affiliated entity that has recently launched operations in the United States. We are currently seeking a highly organized and detail-oriented Executive Assistant to provide comprehensive support to our executive team. This role is crucial in ensuring that the executive team can operate efficiently and effectively, allowing them to focus on strategic initiatives and organizational goals. The ideal candidate will be proactive, resourceful, and capable of managing multiple tasks simultaneously in a fast-paced environment. As an Executive Assistant, you will be responsible for a variety of administrative tasks that require strong time management skills and attention to detail. You will be expected to prioritize activities, especially during peak times when the volume of tasks increases. A positive attitude is essential, as you will be the first point of contact for clients and customers, greeting them warmly and professionally, whether in person or over the phone. Your communication skills will be vital in understanding the needs of both internal team members and external clients, ensuring that all interactions are handled with care and professionalism. In addition to managing multiple calendars and scheduling appointments, you will utilize basic computer programs, including Microsoft Office, to perform various administrative functions. Flexibility is key in this role, as priorities may shift, requiring you to adapt quickly to changing demands. The Executive Assistant will play a pivotal role in maintaining the organization and efficiency of the executive team, contributing to the overall success of the organization.

Responsibilities

  • Manage time effectively to prioritize activities, especially during high-volume periods.
  • Ensure all company memos are free of errors through attention to detail.
  • Greet customers and clients warmly, both in person and over the phone.
  • Communicate effectively with internal team members and clients to understand their needs.
  • Organize and maintain multiple calendars for the executive team.
  • Utilize basic computer programs, including Microsoft Office, for administrative tasks.
  • Adapt quickly to changing priorities and duties as needed.

Requirements

  • Proven experience in time management and organizational skills.
  • Strong attention to detail to ensure accuracy in communications and documentation.
  • Excellent communication skills, both verbal and written.
  • Ability to work collaboratively in a team environment and provide customer service.
  • Proficiency in Microsoft Excel and Microsoft PowerPoint, with at least 1 year of experience in each.
  • Fluency in both Chinese and English.

  • Experience in a similar executive support role is preferred.
  • Ability to commute to Brea, CA is preferred.
  • Willingness to relocate to Brea, CA before starting work is preferred.
