About the position

The Executive Assistant at Network Architects is responsible for providing comprehensive administrative support to the Owner and Executive Leadership team. This role requires a proactive individual who can anticipate needs, think critically, and maintain a high level of professionalism and confidentiality. The Executive Assistant will manage the Owner's calendar, assist with sales inquiries, coordinate meetings, and serve as a liaison between the Owner and internal/external partners, all while reflecting positively on the company.

Responsibilities

  • Exercise considerable judgment and discretion in handling requests for meetings, appointments, and phone calls.
  • Manage the Owner's calendar with an excellent sense of prioritizing important items.
  • Assist with inside sales quotes, coordinating and handling sales inquiries without cold calling.
  • Provide the Owner with appropriate preparation before meetings, including creating agendas and tracking follow-up items.
  • Assist in coordinating meetings and events, including booking locations and contacting vendors for quotes.
  • Serve as key liaison between the Owner and key internal and external partners.
  • Manage internal communication and prioritization, organizing and managing action items and tasks.
  • Write and edit internal and external communications.
  • Conduct research and draft memos for the Owner.
  • Record minutes during meetings as needed.
  • Assist with additional general office tasks as needed, including setting up audio/video equipment for meetings.
  • Attend trainings as scheduled and assigned.
  • Basic reconciliation of A/R checks and create deposits.
  • Assist with onboarding of HR paperwork and tracking software license agreements.

Requirements

  • Three (3) plus years of previous administrative/office support experience.
  • Three (3) years of previous Executive Assistant experience desired.
  • Bachelor's degree or similar educational background.
  • Active WA State Licensed Notary Public preferred.
  • Strong proficiency in Microsoft Office tools (Word, Excel, PowerPoint, and Teams).
  • Strong attention to detail and ability to prioritize information.
