About the position

The Executive Assistant provides thorough and professional administrative and coordination support to the Mayo Clinic CEO or President and CAO (AZ, FL, RST, MCHS, MCP), or the Executive Dean (Education, Research, Practice and Development), C-Suite (MCAT) leaders, or the Board of Trustees/Board of Governors. The Executive Assistant - Enterprise receives direction from the Administrative Office Manager-Enterprise or a senior leader. The Executive Assistant provides thorough and professional administrative and coordination support. The Executive Assistant uses judgment and initiative to coordinate calendars, complete a variety of special projects, as well as prioritizing information. In doing so, the incumbent ensures that the executives maintain a high level of responsiveness to the organization, while maintaining maximum availability. The Executive Assistant works cooperatively with system-wide leadership and support staff, counterparts in outside healthcare and corporate organizations, and peers. This position is a combination of remote and onsite support work. Individual must live within driving distance to the Mayo Clinic Rochester campus. This position will support the Education Executive Office.

Responsibilities

  • Coordinate calendars and complete a variety of special projects.
  • Prioritize information to ensure executives maintain a high level of responsiveness.
  • Work cooperatively with system-wide leadership and support staff, and counterparts in outside healthcare and corporate organizations.

Requirements

  • High school diploma or equivalent required.
  • Successful completion of a one- or two-year degree/diploma in an administrative assistant/secretarial field or equivalent combination of education and experience required.
  • Minimum of five years' experience supporting senior leaders in an administrative assistant and/or executive assistant role required.
  • Demonstrated knowledge of complex organizations, with an emphasis on health care environments preferred.
  • Excellent application of grammar, punctuation, and English usage required.
  • Computer experience and proficiency on technical office equipment and tools (Outlook, Word, Excel, PowerPoint, Teams, Zoom) required.
  • High-level skill in organization, clerical aptitude, interpersonal relations, and excellent written and oral communication skills required.
  • Ability to prioritize and handle a variety of tasks simultaneously required.
  • Good decision-making and judgment as well as attention to detail and follow-through required.
  • Ability to adapt to a rapidly changing environment required.
  • Demonstrated ability to manage extremely confidential information required.
