About the position

Goodwill Industries of New Mexico (GINM) is seeking a dedicated Executive Assistant to provide high-level administrative support to the President/CEO. This role is crucial for ensuring operational efficiency and professionalism, managing calendars, coordinating meetings, leading projects, and handling confidential information. The Executive Assistant will act as a key liaison with internal and external stakeholders, contributing to a collaborative and innovative culture while supporting the organization's mission and values.

Responsibilities

  • Provide professional, seamless administrative support, including managing calendars, preparing and editing correspondence, and taking meeting notes.
  • Lead and coordinate projects, including setting timelines, delegating tasks, ensuring accountability, and reporting progress and results.
  • Schedule and attend meetings, take notes, document action items, and ensure proper follow-up.
  • Maintain a high level of confidentiality and professionalism in all interactions, ensuring sensitive information is handled properly.
  • Serve as a gatekeeper for scheduling, ensuring priorities are met and adjustments are made as needed.
  • Communicate effectively on behalf of President/CEO with Board members, team members, community members, and donors.
  • Arrange travel, prepare travel documents, and maintain accurate travel information.
  • Plan, schedule, and coordinate events, meetings, and activities, ensuring all materials and resources are prepared.
  • Demonstrate advanced skills in Microsoft Office (Word, Excel, Outlook, PowerPoint) and other relevant software, with the ability to learn new tools as needed.
  • Organize and maintain filing systems, ensure timely completion of assignments, and streamline workflows to enhance efficiency.
  • Exhibit outstanding customer service and interpersonal skills when interacting with internal and external stakeholders.
  • Provide guidance to other administrative staff and act as a backup for cross-departmental support when needed.
  • Resolve issues proactively, demonstrating adaptability and resilience in addressing challenges.
  • Manage multiple projects and deadlines in a dynamic, fast-paced environment, showcasing excellent time management and prioritization skills.

Requirements

  • Bachelor's Degree
  • Three to six years related executive administrative experience
  • Knowledge of organizational practices, policies and procedures and compliance with the same.
  • Knowledge of business English, proper spelling, grammar, punctuation, and basic arithmetic, and proficiency in typing.
  • Skill and high proficiency in operating various word-processing, spreadsheets and database software programs in a Windows environment (Word, Excel, PowerPoint, Access etc.)
  • Skill and high proficiency in administrative writing and proofreading skills.
  • Attention to detail
  • Ability to carry out instructions in verbal and written format.
  • Ability to demonstrate poise and diplomacy.
  • Ability to interact and maintain good working relationships with individuals of varying social and cultural backgrounds and people with disabilities.
  • Ability to work independently and demonstrate time management skills.
