The Executive Business Partner at the Santa Barbara Zoo serves as a strategic and operational partner to the CEO and executive team, ensuring the smooth execution of organizational priorities and advancing the Zoo's mission of conservation and education. This role combines high-level administrative expertise with strategic insight to enhance the CEO's effectiveness, oversee key initiatives, and foster stakeholder relationships. The position emphasizes operational excellence, confidentiality, and strategic impact while providing high-level administrative support to the executive team.

  • Serve as a primary point of contact for the CEO and executive team, managing internal and external communications.
  • Coordinate complex calendars, travel arrangements, and correspondence to align with strategic priorities.
  • Prepare agendas, briefing documents, presentations, and post-meeting action plans.
  • Act as a liaison between the CEO's office, the Board of Directors, and other committees.
  • Oversee cross-departmental initiatives and special projects, ensuring timely execution.
  • Manage office logistics, including supplies, equipment maintenance, and record-keeping.
  • Develop and implement workflows and processes to enhance organizational efficiency.
  • Represent the CEO's office in interactions with board members, donors, and community stakeholders.
  • Coordinate donor engagement events, internal awards programs, and fundraising campaigns.
  • Plan and coordinate logistics for meetings, including room bookings and agenda preparation.
  • Handle sensitive information and executive discussions with discretion.
  • Coordinate IT-related functions and leverage modern tools for project management and communication.
  • Foster teamwork across departments and collaborate with staff to build a positive work environment.
  • Bachelor's degree preferred (business, nonprofit management, or related field).
  • 5-7 years of experience in executive-level support or a similar leadership support role.
  • Proficiency in Microsoft Office Suite, MS Teams, Google Workspace, Dropbox, Slack, Zoom, and other scheduling software.
  • Outstanding organizational skills and good time management practices.
  • Effective oral and written communication skills.
  • Strong analytical abilities and attention to detail.
  • Certifications (CAP, MOS, OM, PACE, or similar) are a plus.
  • Experience in non-profit, conservation, or zoo-related environments is a plus.
