About the position

The Executive Business & Personal Assistant at Francine Collections LTD. is a vital role that supports the President of the company. This position involves managing the President's calendar, travel arrangements, and social events, ensuring that all aspects of their professional and personal life are organized and efficient. The assistant will work closely with the President to facilitate key initiatives and projects, requiring strong organizational and communication skills.

Responsibilities

  • Strategically manage day-to-day scheduling, coordination, and meeting logistics for the President.
  • Ensure the President is prepared for professional meetings and events by soliciting agendas, drafting prep documents, and creating itineraries.
  • Coordinate global travel itineraries for the President's trips, including reservations and personal appointments.
  • Supervise and schedule outside contractors/vendors performing work at home.
  • Serve as Operations Manager to communicate with the office team and supervise ongoing projects.
  • Act as a right hand and confidante to the President.
  • Be proactive in contributing to events and special projects as needed.

Requirements

  • 3+ years of professional assistant or executive assistant experience.
  • Exceptionally detail-oriented with a strong ability to follow up and close all loops.
  • Great communicator with proactive and hardworking attributes.
  • Technologically strong with proficiency in Microsoft Outlook, Word, Excel, SharePoint, Teams, Zoom, and Adobe Acrobat DC.
  • Knowledge of QuickBooks.
