About the position

The Executive Coordinator to the Chair at Harvard Medical School's Department of Global Health and Social Medicine is a pivotal role that provides high-level administrative support to the Chair. This position involves managing a busy calendar, serving as the primary point of contact for various stakeholders, drafting correspondence, and coordinating travel and financial records. The role requires exceptional organizational and communication skills, as well as the ability to handle complex tasks with attention to detail.

Responsibilities

  • Manage the Chair's calendar, prioritizing requests and communicating scheduling decisions diplomatically.
  • Draft and edit correspondence and original content such as recommendations and meeting talking points.
  • Communicate on behalf of the Chair, writing in the Chair's voice for internal and external contacts.
  • Design and implement administrative systems for the Chair's office operations.
  • Prepare the Chair for meetings, business trips, and speaking engagements by conducting background research and creating itineraries.
  • Coordinate all travel for the Chair, ensuring compliance with travel policies.
  • Manage reimbursements and financial record-keeping in collaboration with the finance team.
  • Assist the Executive Director with additional duties as needed.

Requirements

  • Three or more years of related writing and/or administrative experience required.
  • Bachelor's degree preferred.
  • Experience working independently and providing strategic recommendations.
  • Strong communication skills in spoken and written form.
  • Detail-oriented and able to multitask in a fast-paced environment.
  • Excellent organizational and interpersonal skills.
  • Proficiency in Word, Excel, and PowerPoint.

Nice-to-haves

  • Experience in higher education, public health, administration, or a related field.
  • Prior experience in a faculty support capacity.
  • Familiarity with federal grants and associated travel procedures.
