Under the supervision of the Vice President and General Counsel, the Executive Legal Assistant will be responsible for providing comprehensive legal administrative and clerical support within the Corporate Legal Department. This role requires a candidate who possesses strong independent judgment and the ability to effectively plan, prioritize, and organize a diverse workload. The ideal candidate will demonstrate exceptional interpersonal skills, as well as written and verbal communication abilities. Attention to detail and the capacity to manage time and projects efficiently, particularly under tight deadlines, are essential. The candidate must maintain a positive and professional demeanor, even in stressful situations, and should be proactive in anticipating the needs of the legal team. Flexibility in working hours is also necessary, along with a commitment to confidentiality and sensitivity in handling legal matters. The responsibilities of the Executive Legal Assistant include managing various aspects of legal support, such as monitoring, preparing, and filing regulatory and compliance annual reports, as well as handling licensing and assembling materials for discovery related to litigation matters. The candidate will also be responsible for responding to subpoenas and other legal requests. An adaptable mindset and a positive attitude are crucial, as the role may require pivoting to support both business and legal teams as needed. The Executive Legal Assistant will answer phones, take detailed messages, and act as a gatekeeper by collecting necessary information regarding all requests. Coordination with legal department personnel to ensure continuous coverage is also a key responsibility. Additional tasks include opening and routing mail, maintaining and tracking legal department files, drafting and finalizing correspondence for signatures, creating and reviewing forms and documents, and conducting research using resources such as the Internet and Westlaw. The candidate will manage the calendars of attorneys, scheduling appointments, conferences, and meetings, as well as arranging for conference rooms and food deliveries. Processing invoices for legal and other service provider fees and costs, along with performing general administrative tasks as assigned, will also be part of the role.
