About the position

The Executive Management Coordinator position at the City of Raleigh is a stand-alone administrative support role focused on providing advanced clerical and office support to various divisions within the City Manager's Office. This includes the Office of Sustainability, Office of Equity and Inclusion, and Internal Audit. The role involves managing schedules, coordinating meetings, and performing analytical work to support executive leadership and ensure smooth operational flow.

Responsibilities

  • Provides advanced administrative support and coordination for management team; screens and prioritizes calls and requests and responds to inquiries.
  • Handles sensitive and confidential issues and records; resolves customer complaints; and refers customers to appropriate resources.
  • Manages calendars and schedules; coordinates the scheduling of meetings, appointments, programs, conferences, events, and travel; resolves scheduling conflicts.
  • Prepares agendas and minutes; manages logistics and arranges for required resources, materials, and facility spaces; monitors deadlines and payment schedules.
  • Performs paraprofessional analytical work; researches, compiles, and summarizes information and data; prepares and maintains reports, databases, and presentations.
  • Composes original correspondence and communication materials on behalf of executive leadership and/or team; prepares and maintains charts, graphs, and presentation support materials.
  • Assists in developing procedures and maintaining policy documentation; prepares, reviews, and routes contract documents.
  • Maintains and oversees the maintenance of department files, records, and documentation; ensures retention of records in accordance with policies.
  • Assists with developing budget and related reports; monitors expenditures and processes financial-related transactions.
  • Monitors and initiates or oversees the maintenance of required supplies, equipment, materials, and facility spaces.

Requirements

  • Associate's Degree in business administration or related field.
  • Four years of advanced administrative support, customer service, and paraprofessional analytical work, preferably with experience supporting top executives.
  • Knowledge of standard practices, methods, and materials of assigned work.
  • Skill in coordinating deadlines, prioritizing work demands, and assigning/monitoring work performed.

Nice-to-haves

  • Experience in a government or municipal setting.
  • Familiarity with budget development and financial monitoring.

Benefits

  • Full-time position with a salary range of $48,389 - $78,234 per year.
