About the position

We are seeking a dedicated and detail-oriented individual who can thrive in a fast-paced and dynamic environment. The Executive Office Administrative Assistant will provide high-level administrative support to the Executive Office and Department Heads, ensuring that all tasks are completed efficiently and effectively. This role is crucial for maintaining the smooth operation of the Executive Office, and the successful candidate will be expected to manage a variety of administrative tasks with precision and professionalism. In this position, you will perform clerical and administrative tasks including drafting letters, memos, invoices, and reports, as well as filing documents for the Executive Office and Department Heads as directed by the General Manager. You will also be responsible for arranging travel and accommodations for Department Heads, scheduling meetings, taking notes, and recording minutes. Additionally, you may be requested to attend meetings on behalf of a Department Head, which requires a high level of professionalism and discretion. The role also involves orchestrating work schedules for the Security Department, receiving incoming communication or memos, reviewing contents, determining importance, and summarizing or distributing contents to appropriate staff. You will perform office tasks such as maintaining records, ordering supplies, and performing basic bookkeeping and filing. The Executive Office Administrative Assistant will also be expected to perform additional duties as assigned by the General Manager and Department Heads, demonstrating flexibility and a willingness to take on new challenges.

Responsibilities

  • Provides high-level administrative support and assistance to the Executive Office and Department Heads as directed by the General Manager.
  • Performs clerical and administrative tasks including drafting letters, memos, invoices, reports, and filing documents for the Executive Office and Department Heads.
  • Arranges travel and accommodations for Department Heads as requested.
  • Schedules meetings, takes notes, and records minutes, and may be requested to attend meetings on behalf of a Department Head.
  • Orchestrates work schedules for the Security Department.
  • Receives incoming communication or memos, reviews contents, determines importance, and summarizes and/or distributes contents to appropriate staff.
  • Performs office tasks including maintaining records, ordering supplies, and performing basic bookkeeping, filing, etc.
  • Performs additional duties as assigned by the General Manager and Department Heads.

Requirements

  • High school diploma required; bachelor's degree in business administration or related field preferred.
  • Four years of related experience required.
  • Excellent verbal and written communication skills.
  • Excellent organizational skills and attention to detail.
  • Excellent time management skills with a proven ability to meet deadlines.
  • Ability to function well in a high-paced and at times stressful environment.
  • Extensive knowledge of office administration, clerical procedures, and recordkeeping systems.
  • Able to type a minimum of 50 words per minute.
  • Extremely proficient with Microsoft Office Suite or similar software with the ability to learn new or updated software.

Nice-to-haves

  • Experience in a casino environment or related field.
  • Familiarity with basic bookkeeping and accounting principles.
