About the position

The Executive Office and Administrative Specialist position at the University of Minnesota's Department of Otolaryngology involves providing comprehensive financial system support and administrative assistance. This role is crucial for managing financial transactions, vendor relations, and supporting faculty and staff in a hybrid work environment. The specialist will ensure efficient operations within the department while maintaining a professional atmosphere and facilitating communication among team members.

Responsibilities

  • Attend classes and pass exams to become proficient in EFS duties related to financial management.
  • Create and manage requisitions for various contracts and services.
  • Act as a liaison to the SAC accounting/finance team and oversee forms submitted to SAC.
  • Manage travel authorizations, reimbursements, and vendor inquiries using Chrome River.
  • Provide administrative support to faculty, residents, and staff, including triaging phone calls and managing departmental communications.
  • Assist in organizing department events and maintaining departmental conference rooms.
  • Order supplies and maintain records of financial transactions.

Requirements

  • High School Diploma/GED and four years of related office experience.
  • Experience with EFS or other electronic financial systems.
  • Demonstrated organizational skills and strong attention to detail.
  • Proficiency in Microsoft Office applications and various software applications.
  • Excellent written and verbal communication skills.

Nice-to-haves

  • Experience in an academic healthcare environment.
  • Experience working independently and as part of a team.
  • Exposure to Red Cap and Smartsheets.
  • Experience preparing, drafting, editing, and proofing correspondence and documents.
