We are seeking a highly organized and dependable Executive Operations Assistant to join our team at our Huntington Beach corporate office. This role is perfect for someone who can take charge, manage daily operations, and act as the right hand to our executive leadership. The ideal candidate will be a proactive problem solver, able to manage multiple tasks with precision and maintain a high level of professionalism. As the Executive Operations Assistant, you will act as the primary point of contact for the executive, handling day-to-day operations so the executive can focus on the strategic aspects of the real estate business. You will manage and review Excel spreadsheets to prepare information for accounting, making business-related decisions on which invoices to pay. Additionally, you will serve as the go-to person for Customer Service Representatives, providing guidance and support. Your responsibilities will also include overseeing and reviewing team meeting data, ensuring that procedures and processes are followed. You will maintain a high level of organization, acting as the office manager, and ensuring that all office operations run smoothly. You will handle various tasks with a "militant" approach, ensuring that deadlines are met and responsibilities are clearly defined. Providing dependable support, you will anticipate the executive's needs and shift gears quickly to address new challenges. Navigating the dynamics of a diverse team, you will understand the needs of employees with varying levels of experience and tenure. It is important to note that no personal errands, such as booking travel or handling dry cleaning, are required for this position. Travel may be required once a year for business purposes, but no frequent travel is expected.
