As an Executive Assistant with paralegal experience, you will play a pivotal role in supporting our executive leadership. This position offers a unique opportunity to contribute to the success of our organization by providing high-level administrative support and ensuring smooth operations at the executive level. Additionally, you will be responsible for reviewing and drafting all legal documents such as contracts, NDAs, and client service agreements. In this role, you will work closely with our Chief Visionary to support all company initiatives. You will provide comprehensive administrative support to ensure efficient operation of the office, which includes answering phone calls, scheduling meetings, and managing the agenda of our Chief Visionary. Your responsibilities will also include carrying out various administrative duties such as filing, typing, copying, binding, and scanning. You will plan, coordinate, and attend company functions and events, as well as make travel arrangements for team members, including booking flights, cars, and hotel or restaurant reservations. Occasionally, you may need to attend business trips. In addition to executive support, you will also handle paralegal duties, which involve reviewing and drafting all legal documents, providing legal support and advice to the executive team, liaising with external legal counsel when necessary, and maintaining and organizing legal files and records. This role requires strong problem-solving skills, effective communication, excellent time management, and adaptability to keep up with moving priorities, projects, clients, and technology. Responsibilities

  • Work closely with our Chief Visionary to support all company initiatives.
  • Provide comprehensive administrative support to ensure efficient operation of the office.
  • Answer phone calls, schedule meetings, and support visitors.
  • Manage and organize our Chief Visionary's agenda, ensuring punctuality for all meetings.
  • Carry out administrative duties such as filing, typing, copying, binding, scanning, etc.
  • Plan, coordinate, and attend company functions and events.
  • Make travel arrangements for team members, including booking flights, cars, and hotel or restaurant reservations.
  • Attend occasional business trips.
  • Exhibit polite and professional communication via phone and email.
  • Support the team by performing tasks related to organization and strong communication.
  • Send welcome packages to our clients.
  • Contribute to team effort by accomplishing related results as needed.
  • Perform other miscellaneous tasks as assigned.
  • Review and draft all legal documents, including contracts, NDAs, and client service agreements.
  • Provide legal support and advice to the executive team as needed.
  • Liaise with external legal counsel when necessary.
  • Maintain and organize legal files and records.

Requirements

  • At least 2 years of experience as a paralegal, with strong knowledge of legal document review and drafting.
  • Familiarity with legal terminology and processes.
  • Proven background in event planning and coordination.
  • Strong problem-solving skills in a fast-paced environment.
  • Excellent communication skills in English (oral and written).
  • Excellent time management skills to manage multiple responsibilities simultaneously.
  • Strong computer skills, including proficiency in Google Calendar, G Suite, and Microsoft Office Suite (Microsoft Word, Outlook, Excel, and PowerPoint).
  • Ability to adapt to changing priorities, projects, clients, and technology.
