About the position

As an Executive Parts Assistant at Crest Auto Group, you will be an integral part of a team dedicated to providing exceptional service in a customer-centric environment. Crest Auto Group is known for its extensive selection of luxury vehicles, both new and pre-owned, and as part of this family, you will contribute to maintaining the high standards expected by our clientele. The role involves a variety of administrative and operational tasks that support the Parts Department, ensuring that all processes run smoothly and efficiently. You will be expected to engage with various departments, particularly the Parts Director, to align on daily tasks and objectives, fostering a collaborative approach to achieving departmental goals. In this position, you will be responsible for processing and running necessary repair reports, filing warehouse tickets, and managing invoices. You will also assist in the reconciliation of purchase orders and ensure that all paperwork is accurate and submitted in a timely manner. Daily meetings with the Parts Director will be a key part of your routine, allowing for the review of tasks and the setting of goals. Additionally, you will handle correspondence, including checking mailboxes, distributing contents, and managing email communications. Your role will also include collecting time sheet signatures and any other responsibilities assigned by the Parts Director, making adaptability and attention to detail essential traits for success in this position.

Responsibilities

  • Process and run repair necessary reports
  • File warehouse tickets
  • Manage oil receipts for GM technicians
  • Reconcile, print, file, and manage assigned invoices
  • Meet with Parts Director daily to review tasks and goals
  • Provide correct paperwork to accounting
  • Check mailboxes and distribute contents
  • Collect receipts and submit claims
  • Send and respond to scheduled emails as well as all other emails
  • Collect time sheet signatures
  • Perform any other responsibilities as assigned by Parts Director

Requirements

  • High school diploma or GED
  • Microsoft Word and Excel proficiency
  • Executive administrative support experience
  • Valid Driver's License
  • Personal assistant experience preferred
  • Automotive Parts experience preferred but not required
  • Clean driving record
  • Willingness to submit to a pre-employment background check
