About the position

The Executive Personal Assistant will play a crucial role in supporting a busy family based in New York City and the Hamptons. This position requires a highly organized and proactive individual who can manage a variety of personal and professional tasks with efficiency and discretion. The assistant will be responsible for making travel arrangements, which includes coordinating logistics such as drivers, hotels, restaurants, and entertainment options. Additionally, the assistant will manage the family calendar, scheduling appointments for various needs, including medical visits and personal engagements. In addition to travel and scheduling, the role involves managing general personal errands, such as handling dry cleaning, preparing and shipping packages, and ensuring that household activities are organized and coordinated. This includes overseeing cleaning services, routine maintenance, and liaising with various vendors. The assistant will also provide general home office support, which encompasses bill management, document scanning, mail sorting, and managing contacts for holiday mailings. The position requires basic grocery shopping and maintaining a well-stocked kitchen, as well as assisting with personal events and coordinating with service providers as needed. The assistant will also be responsible for driving children to and from their activities and organizing their educational and social calendars. A 24/7 availability is essential, as the assistant must be on-call and ready to respond to the family's needs at any time. Furthermore, the role includes helping to lead and manage household staff, ensuring that all operations run smoothly and efficiently.

Responsibilities

  • Make personal and professional travel arrangements and assist with pre-travel logistics (ex: drivers, hotels, restaurants, shows, etc.)
  • Manage family calendar and schedule appointments (ex: doctors, etc.)
  • Manage general personal errands (ex: drop off/pick up dry cleaning, preparing and shipping packages, etc.)
  • Organize and coordinate household activities (ex: cleaning services, routine maintenance, various vendors, etc.)
  • Provide general home office support (ex: bill management, scan documents, retrieve and sort mail, manage contacts for annual holiday mailings, etc.)
  • Perform basic grocery shopping and keep the kitchen stocked
  • Assist with personal events and coordinate with service providers as appropriate
  • Provide home organization support
  • Drive children to and from activities
  • Organize educational and social calendars for children
  • Be on-call as needed, maintaining a 24/7 mentality
  • Help lead and manage household staff

Requirements

  • 5+ years of direct, relevant experience
  • Proven track record as a top-tier personal assistant, staying three steps ahead at all times
  • Outstanding organization and time management skills
  • Excellent verbal and written communication skills
  • Natural instinct to hustle and accomplish tasks while maintaining a calm demeanor
  • Ability to proactively and confidently make decisions with limited direction
  • Adapts well to changing plans and priorities; comfortable dealing with ambiguity
  • Works well independently with minimal guidance
  • Maintains strict confidentiality and appropriate handling of sensitive information
  • Proficiency with PC & Apple products and a variety of software applications including Outlook, Word, Excel, and PowerPoint; agile in learning new technologies
  • College degree
