About the position

The Executive/Personal Assistant to the CEO at San Diego Biz Law APC is a vital role that provides comprehensive administrative support to the CEO of the law firm. This position requires a highly organized and detail-oriented individual capable of managing multiple tasks efficiently while maintaining a positive and professional demeanor. The assistant will be involved in various administrative functions, including managing calendars, organizing case files, and assisting with social media projects, all aimed at liberating the CEO's time for more strategic activities.

Responsibilities

  • Provide executive administrative support to the CEO.
  • Help organize the administrative side of a division of the law firm and manage case files to provide updates to clients.
  • Manage calendars and schedule appointments, and file cases (training will be provided).
  • Manage incoming work from various persons and delegate tasks to other team members after the CEO's review.
  • Assist with social media projects, including hiring, placing, and preparing ads (training will be provided).
  • Handle duties such as answering calls and making calls to clients.
  • Call or email vendors and other companies to ascertain information and resolve various issues.
  • Order supplies and equipment, book flights, hotels, and cars, and make various travel arrangements.
  • Perform clerical tasks including filing and organizing documents electronically.
  • Utilize the Microsoft Suite for various office functions, including backing up computers and moving around electronic files.

Requirements

  • Proven experience in providing executive administrative support (minimum of 2 years).
  • Strong organizational skills with attention to detail.
  • Good memory or note-taking ability and capability to multitask.
  • Strong spelling and grammar skills are essential.
  • Proficiency in Microsoft Office.
