About the position

The Executive Personal Assistant to the CEO will play a crucial role in supporting the CEO by managing both business and personal tasks. This position involves a combination of high-level management duties and day-to-day administrative responsibilities, ensuring the CEO's time is optimized and that operations run smoothly across multiple locations.

Responsibilities

  • Manage and pay personal and company bills from multiple accounts.
  • Handle detailed email management with multi-level inboxes and complex filters.
  • Perform clerical and administrative tasks, including meeting minutes, drafting letters, filing, scanning, and preparing reports.
  • Research and format information for internal and external communications such as memos, emails, presentations, spreadsheets, and reports.
  • Facilitate collaboration and information sharing across all six locations with the senior leadership team.
  • Track the progress of projects assigned to department heads and ensure alignment with the CEO's priorities.
  • Maintain the tidiness and cleanliness of the CEO's office, including dinner reservations and meal orders.
  • Prepare the CEO's office for meetings and dinners, including drinks and tidying up.
  • Perform any duties as assigned by the CEO, acting as a trusted right-hand person in high-impact meetings.
  • Anticipate the CEO's needs to create or automate a more productive workflow and protect his time and energy.
  • Act as the primary point of contact between the CEO and executives, employees, clients, and external partners.

Requirements

  • Bachelor's Degree preferred.
  • Experience in accounting and financial work, especially related to spreadsheets.
  • Excellent verbal and written communication skills.
  • Strong organizational skills and attention to detail.
  • Proven time management skills with a track record of meeting deadlines.
  • Ability to function well in a high-paced environment.
  • Extensive knowledge of business operations, office administration, schedule management, and record-keeping systems.
