About the position

AerSale® is a global leader and market innovator specializing in aviation products and services to meet the growing demand for aftermarket support in global passenger, cargo, and government segments. The Executive Personal Assistant to the CEO will play a crucial role in supporting the Chief Executive Officer and the Chief Financial Officer by managing a wide range of administrative and executive support-related tasks. This position requires a highly resourceful team player who is comfortable working in a fast-paced environment, sometimes under pressure, while remaining flexible, proactive, and efficient. The Executive Assistant will be responsible for maintaining a realistic balance among multiple priorities and exercising good judgment in various situations. Strong written and verbal communication, administrative, and organizational skills are essential for success in this role. The Executive Assistant will complete a broad variety of administrative tasks, including managing an extremely active calendar of appointments, completing expense reports, composing and preparing correspondence that may be confidential, and maintaining executive files. The role also involves arranging detailed travel plans, itineraries, and agendas, as well as compiling documents for travel-related meetings. The Executive Assistant will anticipate the executives' needs and proactively bring together appropriate people and resources to support the executive in addressing these issues. Additionally, the Executive Assistant will represent the executives by welcoming visitors, arranging company dinners and other corporate functions, and answering questions directed to the executive office. This position requires a polished professional with significant experience supporting C-level executives in a fast-paced environment. The ideal candidate will have a Bachelor's degree and a minimum of three years of experience in a similar role. Company start-up experience is preferred. The Executive Assistant will also be responsible for improving quality results by studying, evaluating, and redesigning processes, as well as managing external contacts and Board of Directors related activities with a high degree of professionalism and confidentiality.

Responsibilities

  • Manage an extremely active calendar of appointments for the CEO and CFO.
  • Complete expense reports and prepare correspondence, including confidential documents.
  • Screen phone calls and visitors, and maintain executive files.
  • Arrange detailed travel plans, itineraries, and agendas for the CEO and other executives.
  • Anticipate the executives' needs and proactively bring together appropriate resources.
  • Coordinate the agenda of senior management team meetings and off-sites.
  • Represent the executives by welcoming visitors and arranging corporate functions.
  • Handle Board of Directors related activities and communications with professionalism and confidentiality.
  • Develop efficient documentation and filing systems.
  • Recruit and oversee house staff, following up on their daily and weekly activities.

Requirements

  • Bachelor's degree required.
  • Minimum of 3 years of experience supporting a C-level executive in a fast-paced environment.
  • Polished professional with a high level of professionalism and ability to handle confidential information.
  • Strong organizational skills with attention to detail and ability to prioritize multiple tasks.
  • Advanced PC skills in Microsoft Office, including Word, PowerPoint, QuickBooks, and Excel.
