About the position

Join the CEO's team as a Personal Executive Assistant in a fast-paced, high-impact role at a leading financial services firm. This position is designed for a highly organized and proactive individual who can manage both personal and professional demands of the CEO, leveraging strategic and analytical thinking skills to thrive in a dynamic environment.

Responsibilities

  • Manage personal and professional tasks, including coordinating appointments, reservations, and household arrangements.
  • Handle all aspects of international and domestic travel logistics, including flights, accommodations, and ground transportation.
  • Organize and maintain the CEO's calendar, agendas, and events, ensuring smooth prioritization of competing demands.
  • Oversee wardrobe and style management, handle personal shopping, and manage everyday and event-specific wardrobe audits.
  • Perform general administrative tasks such as recording meeting minutes, data entry, filing, copying, and mailing.
  • Lead and coordinate multiple projects simultaneously, tracking timelines and ensuring deadlines are met.
  • Maintain a detailed and highly organized to-do list for both the CEO and business, keeping track of important dates and tasks.
  • Ensure seamless communication within the team, keeping all aspects of the business running smoothly.
  • Manage social media accounts, supporting the expansion of the CEO's online presence across both established and emerging platforms.
  • Undertake additional personal, creative, or executive assistant duties as required.

Requirements

  • Bachelor's degree from an accredited institution.
  • Must provide SAT and/or ACT scores for consideration.
  • A minimum of 6 months of experience in an administrative, secretarial, or personal assistant role.
  • Proven ability to manage highly confidential information with integrity and discretion.
  • Excellent verbal and written communication skills.
  • Strong ability to manage multiple projects simultaneously and thrive under tight deadlines.
  • A self-motivated individual with a 'no task too small' attitude and a positive, enthusiastic mindset.
