About the position

The Executive/Personal Assistant position is a critical role that provides comprehensive support to the Chief Executive Officer (CEO) of our client. This position is designed for a proactive and efficient individual who thrives in a fast-paced environment. The ideal candidate will possess excellent organizational skills and the ability to manage multiple tasks effectively while maintaining resilience under pressure. The Executive Assistant will be responsible for managing the CEO's busy calendar, coordinating meetings, handling communications, and ensuring streamlined workflows across the organization. In this role, the Executive Assistant will manage the CEO's schedule by scheduling appointments and meetings both onsite and offsite. This includes arranging work-related and personal travel, which encompasses flights, accommodations, and transportation. The Executive Assistant will act as the main point of contact for both internal and external stakeholders, ensuring that all communications are handled with professionalism and discretion. The role requires the ability to handle confidential information sensitively and to facilitate smooth communication and workflow across different departments. Additionally, the Executive Assistant will prioritize and manage incoming emails and phone calls, assist with ad hoc tasks and projects assigned by the CEO, and screen and redirect phone calls, emails, and visitors as needed. Organizing logistics for meetings and events, from coordination to follow-up, is also a key responsibility. The Executive Assistant may also provide calendar management and meeting support for other executives when required, making this a dynamic and multifaceted position.

Responsibilities

Requirements

  • High school diploma or equivalent.
  • At least 5 years of experience in executive or personal assistant roles, preferably in a startup environment.
  • Strong organizational and time-management skills.
  • Excellent interpersonal and communication abilities.
  • Ability to handle confidential information with discretion.
  • Attention to detail and commitment to cleanliness and organization in all tasks.
