About the position

The Executive & Personal Assistant will support the owner in both professional and personal capacities, ensuring efficient management of schedules, communications, and various tasks. This part-time role requires exceptional organizational skills and the ability to multitask effectively, contributing to a well-functioning environment both at work and home.

Responsibilities

  • Be the gatekeeper for emails, calls, and messages, ensuring priorities stay on track.
  • Keep the owner's inboxes empty and organized.
  • Build great relationships with clients, vendors, and team members.
  • Anticipate needs, proactively supporting day-to-day team management and leadership.
  • Organize and manage the owner's calendar, setting up meetings, appointments, and trips.
  • Create, edit, and organize reports, presentations, and other materials.
  • Maintain organized paper and digital records and files.
  • Prepare agendas, take meeting notes, and manage follow-ups for meetings.
  • Research, manage, and track projects to ensure they stay on track.
  • Track, organize, and reconcile receipts, preparing and submitting expense reports.
  • Book personal appointments and manage commitments for the owner.
  • Handle shopping, gifts, and returns as needed.
  • Organize personal and family travel arrangements, including flights and itineraries.
  • Coordinate household tasks such as repairs, deliveries, and errands.

Requirements

  • 3-5 years of experience in a similar role, preferably supporting executives and handling personal tasks.
  • Freakishly good organizational skills and a love for creating calm from chaos.
  • Ability to multi-task with attention to detail.
  • Excellent communication skills, both written and verbal.
  • Proficiency with Microsoft Office, Google Workspace, and scheduling tools.
  • Willingness to learn new software and systems.

Nice-to-haves

  • Experience with social media marketing and event planning.
  • Familiarity with tools like Monday.com.
