About the position

The Executive Personal Assistant at Flat Fee Landlord plays a crucial role in supporting the Founder/Visionary by managing a variety of professional and personal tasks. This position is essential for ensuring smooth daily operations and contributing to the overall success of the company. The ideal candidate will be detail-oriented, reliable, and capable of balancing multiple responsibilities effectively.

Responsibilities

  • Manage the Founder's calendar, scheduling and prioritizing appointments and meetings.
  • Filter and respond to emails, drafting communications on behalf of the Founder.
  • Plan and coordinate business travel, including flights and accommodations.
  • Assist in managing ongoing projects and ensuring deadlines are met.
  • Create, format, and proofread documents and presentations.
  • Prepare agendas and take minutes during meetings, following up on action items.
  • Act as a point of contact for key clients and vendors, maintaining positive relationships.
  • Conduct research on market trends and compile findings for strategic decision-making.
  • Organize company events and team-building activities.
  • Assist with onboarding new employees and managing HR-related communications.
  • Monitor and manage inventory of office supplies and order new supplies as needed.
  • Run personal errands for the Founder and assist with family-related tasks.

Requirements

  • Proven experience as an executive assistant or in a similar role.
  • Minimum of 3 years of experience working directly with high-performing CEOs and executives.
  • Proficient in office software, particularly Google Workspace.
  • Proficient in Canva and BambooHR.
  • Knowledge of real estate software such as AppFolio, ResMan, and QuickBooks is preferred.
  • Excellent organizational and time management skills.
  • Strong written and verbal communication abilities.
  • High level of discretion and confidentiality.
  • Ability to multitask and prioritize effectively.
  • Reliable transportation and willingness to run errands as needed.
  • Bachelor's degree preferred.
