About the position

We are seeking a highly organized and proactive Personal Assistant to provide comprehensive administrative support to an executive. This role is essential in ensuring smooth operations and effective communication within a business containing a multifaceted portfolio of sub-organizations. The ideal candidate will possess strong computer skills, exceptional attention to detail, and the ability to manage multiple tasks efficiently.

Responsibilities

  • Manage and maintain executive calendars, including scheduling appointments and coordinating meetings.
  • Transcribe meeting notes and prepare documents using tools such as DocuSign for electronic signatures.
  • Assist with event planning and coordination, ensuring all logistics are handled efficiently.
  • Provide business support and manage incoming communications for the owner.
  • Oversee all office managers and tasks, including supply inventory and equipment maintenance.
  • Utilize computer literacy to create reports, presentations, and other necessary documentation.
  • Perform general administrative duties such as filing, data entry, and maintaining organized records.
  • Schedule travel and accommodations, preparing itineraries for work days, meetings, travel, and events.
  • Interview and onboard new team members.
  • Organize and upkeep all documents/files for easy access.
  • Send and receive all important documents on behalf of the business(s).
  • Incorporate and maintain team communication software.
  • Assist with various personal tasks.

Requirements

  • Proven experience as a Personal Assistant or in a similar administrative role.
  • Strong organizational skills with the ability to prioritize tasks effectively.
  • Proficient in calendar management and scheduling software.
  • Familiarity with event planning processes and office management practices is preferred.
  • Excellent communication skills, both written and verbal.
  • High level of computer literacy, including proficiency in Microsoft Office Suite or equivalent applications.
  • Ability to work independently while being a collaborative team member.
  • Understands and habitually practices discretion in all regards.
  • Time efficient, active learner, resourceful, and innovative.
