About the position

We seek a highly organized and proactive Executive Personal Assistant to support a principal professionally and personally, ensuring the efficient utilization of the principal's time. This role requires a college graduate with exceptional communication skills, technological proficiency, and the ability to coordinate seamlessly with household and enterprise team members. The position sets direction on administrative tasks, supports key initiatives, functions as a trusted thought partner, and manages short- and long-term projects. Discretion, diplomacy, and confidentiality are paramount, together with emotional IQ. The Executive Personal Assistant will be responsible for a variety of tasks that require a high level of discretion and emotional intelligence. The role involves managing the principal's calendar and schedule, acting as a communication liaison, coordinating meetings, and managing travel arrangements. The assistant will also handle document management, maintain proficiency in various technologies and social media platforms, and support special projects as directed by the principal. This position is integral to ensuring that the principal's personal and professional commitments are met efficiently and effectively. In addition to administrative tasks, the Executive Personal Assistant will provide personal support, including household management tasks and hospitality. The ideal candidate will have a proven track record in a similar role, preferably supporting senior executives, and will possess excellent organizational and time management skills, along with a keen attention to detail. The role requires flexibility to occasionally work outside regular business hours and the ability to maintain confidentiality and exercise discretion at all times.

Responsibilities

  • Uses discretion, judgment, and emotional intelligence to facilitate the principal's activities and maintain confidentiality.
  • Coordinate closely with the principal's personal and professional commitments, ensuring efficient scheduling and calendar integration.
  • Act as a primary point of contact for internal and external communications, demonstrating strong written and verbal communication skills in a polished manner.
  • Arrange meetings, video and conference calls, and appointments, ensuring all necessary logistics are handled professionally and promptly.
  • Create high-quality presentations and agendas for internal and external use.
  • Manage and track the status of ongoing short and long-term projects, preparing progress reports as needed.
  • Manage complex travel itineraries, including flights, accommodations, and ground transportation, ensuring a smooth travel experience.
  • Handle confidential documents with discretion, including drafting correspondence, preparing presentations, and maintaining files.
  • Maintain proficiency in various technologies and social media platforms, assisting with digital communications and online presence as needed.
  • Support special projects and initiatives as the principal directs, exercising flexibility and adaptability in a dynamic environment.
  • Provide individual assistance to the principal, including household management tasks and hospitality.

Requirements

  • Bachelor's degree in business administration or related field.
  • Proven experience as an executive assistant or similar role, preferably supporting senior executives.
  • Excellent organizational and time management skills, with a keen attention to detail.
  • Strong proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Teams, and Outlook) and familiarity with digital communication tools.
  • Experience with MAC/Apple products is preferred.
  • Ability to maintain confidentiality and exercise discretion at all times.
  • Professional demeanor, polished interpersonal skills, and the ability to interact effectively with executives, colleagues, and external partners.
  • Flexibility to occasionally work outside regular business hours.
  • Experience in a high-net-worth or corporate environment is advantageous.
