About the position

Rogers Electric is seeking an Executive/Personal Assistant to support the Chairman in managing a variety of projects related to diverse lines of business, community, and personal interests. This role is crucial in ensuring the smooth operation of the Chairman's professional and personal life, requiring a high level of confidentiality and professionalism. The Executive/Personal Assistant will handle financial and accounting matters, including expense reports, and coordinate the Chairman's calendar, travel, meetings, and schedules. This position demands a proactive individual who can work closely with other team members to prepare the Chairman for meetings, presentations, and engagements. The responsibilities include taking phone calls, scheduling appointments, maintaining personal and business files, and corporate record keeping for multiple entities. The Assistant will also be responsible for note-taking, creating documentation, and managing the filing, storage, and retrieval of business and personal activities. Additionally, the role involves coordinating travel arrangements for both business and family vacations, making restaurant reservations, and planning small and large events. The Assistant will manage philanthropic interests and research, hire, and supervise vendors and contractors for home projects as needed. Routine maintenance of homes and vehicles will also fall under this role, along with handling shopping and errands for both business and personal needs. The ideal candidate will carry out these responsibilities with professionalism and respect for others, adhering to the organization's policies and applicable laws. Responsibilities

  • Manage multiple projects as assigned by the Chairman related to diverse lines of business, community, and personal interests.
  • Handle financial and accounting matters (including expense reports) for the Chairman with confidentiality.
  • Coordinate calendar, travel, meeting, and schedule arrangements for the Chairman, staff, business partners, and family.
  • Work closely with other team members to assure the Chairman's preparation for meetings, presentations or other engagements.
  • Take phone calls and schedule appointments.
  • Maintain personal and business files; corporate record keeping for multiple entities.
  • Take notes and create documentation.
  • File, store, and retrieve business and personal activities.
  • Coordinate travel arrangements for business and family vacations.
  • Make restaurant reservations and plan small and large events.
  • Manage philanthropic interests and research, hire, and supervise vendors and contractors for home projects as needed.
  • Ensure the routine maintenance of homes and vehicles.

Requirements

  • Associates degree required; Bachelor's degree preferred.
  • 15+ years' experience performing administrative duties.
  • Bilingual is a plus but not required.
  • Experience in overseeing budgets and expenses.
  • Professional level communication skills.
  • Advanced knowledge of MS Office products (Outlook, Word, Excel, PowerPoint).
  • Solid planning, organizational, and problem-solving skills.
  • Strong independent judgment and attention to detail.
  • Ability to prioritize and organize tasks according to deadlines and urgency, and complete them in a timely and professional manner.
  • Ability to create, edit and analyze Excel spreadsheets, Word documents, PDF files and PowerPoint presentations.
  • Knowledge of basic accounting principles.
  • Proficiency in MS Office Suite.
  • Ability to multitask.
