About the position

We are seeking a highly organized and detail-oriented Receptionist/Administrative Assistant to join our team at US American Concrete Pumping in Miami, FL. The ideal candidate will provide exceptional administrative support to our executive team and ensure a smooth and efficient work environment. This role is responsible for providing top-notch customer service, managing multiple projects, and handling various administrative tasks. The successful candidate will possess excellent communication and organizational skills, with the ability to multitask and maintain confidentiality. In this position, you will provide executive administrative support, including calendar management, scheduling meetings, and preparing correspondence and reports. You will also offer high-quality customer service, responding to phone calls, emails, and in-person inquiries in a professional and courteous manner. Your duties will include performing various administrative tasks, such as data entry, proofreading, and maintaining accurate records. You will utilize your computer literacy skills to proficiently operate software applications, including QuickBooks, and maintain accurate financial records. Additionally, you will assist with the office phone system, ensuring all calls are answered in a timely and professional manner. Maintaining a clean and organized workspace is essential, ensuring the reception area is always welcoming and well-maintained. You will also perform other administrative tasks as assigned by management, contributing to the overall efficiency of the office.

Responsibilities

  • Provide executive administrative support, including calendar management, scheduling meetings, and preparing correspondence and reports.

Requirements

  • High school diploma or equivalent required.
  • At least 2 years of experience in an administrative or receptionist role, with a focus on construction and construction lean releases.
  • Experience with calendar management, project coordination, and customer service.
  • Excellent computer literacy skills, with experience using software applications such as QuickBooks required.
  • Strong organizational and time management skills, with the ability to multitask and prioritize tasks.
  • Ability to maintain confidentiality and handle sensitive information with discretion.
  • Strong proofreading and attention to detail skills.
  • Ability to work in a fast-paced environment and adapt to changing priorities.
  • A positive and professional demeanor, with a focus on providing exceptional customer service.

Nice-to-haves

  • Experience with Microsoft Excel (2 years preferred)
