About the position

The Executive Assistant will provide comprehensive administrative support to the President and CEO of the Population Reference Bureau (PRB), facilitating communication and coordination with the Board of Directors and senior management. This role is pivotal in managing the President's schedule, organizing meetings, and overseeing special projects, while also conducting research to support business development efforts.

Responsibilities

  • Assist the President/CEO with daily administrative duties and manage an active calendar of appointments.
  • Complete expense reports and prepare correspondence.
  • Arrange complex travel plans, itineraries, and agendas, and compile documents for meetings.
  • Communicate with staff on behalf of the President/CEO and coordinate logistics for high-level meetings.
  • Organize quarterly updates and collate financial and progress reports on PRB's strategic planning roadmap.
  • Conduct research on prospective corporate and foundation donors and assemble materials for proposals.
  • Draft reports, letters of solicitation, and proposals; prepare communication with donors and prospects.
  • Support the President/CEO with external commitments related to PRB.
  • Serve as the administrative liaison to the Board of Directors and manage Board activities.
  • Coordinate semi-annual Board meetings and new Board member orientations.
  • Research potential Board members for the Nomination Committee.
  • Assist with reporting on strategic plan implementation and maintain the Board portal.

Requirements

  • Bachelor's degree or equivalent experience with a background in social sciences.
  • At least 5 years of experience providing support for upper-level management.
  • Strong organizational skills with attention to detail.
  • Proficiency in Microsoft Office, including Word, Excel, and PowerPoint.
  • Ability to handle confidential and sensitive information.
  • Excellent writing, editing, and research skills.

Nice-to-haves

  • Research skills preferred but not required.
  • Knowledge of other languages and international customs is an asset.
  • Strong cultural competence.
