About the position

The Executive Sales Assistant at Cliffs Realty Sales SC, LLC plays a crucial role in supporting the sales team and property management operations within the luxury communities of The Cliffs. This position is designed for an individual who thrives in a dynamic environment and is committed to providing exceptional administrative support. The ideal candidate will be responsible for a variety of tasks that ensure the smooth operation of the sales and property management teams. This includes managing schedules, maintaining files, and producing correspondence, all while ensuring that the day-to-day business details are handled efficiently. In addition to administrative duties, the Executive Sales Assistant will stay informed about the roles and responsibilities of various team members, including the Marketing Response Specialist, Property Manager, Sales Support Specialist, and Office Manager. This knowledge will enable the assistant to provide informed support and contribute to the recruitment, hiring, and onboarding processes for new team members. The role requires a clear understanding of how specific projects align with broader company goals, allowing the assistant to set actionable objectives that support the overall mission of The Cliffs. The Executive Sales Assistant will also serve as a liaison between the Cliffs Resident Outreach and corporate departments, such as Marketing, Membership, and HR. This position involves managing compliance with Marketing State Registration, coordinating calendars for meetings and appointments, and preparing reports, presentations, and spreadsheets using MS Office. The assistant will be expected to audit and distribute database reports, prepare materials for various meetings, and contribute to a high-quality service experience for clients and prospects. Furthermore, the role includes making travel arrangements, coordinating sales meetings and training events, and curating team-building activities. The Executive Sales Assistant will assist in long-term strategic planning for Cliffs Realty and Cliffs Property Management, acting as a point of contact when the executive is out of the office. Responsibilities

  • Provide administrative support including file maintenance, schedule and appointment management, and production of correspondences.
  • Stay up to date on Marketing Response Specialist, Property Manager, Sales Support Specialist, and Office Manager roles and duties.
  • Assist with recruitment, hiring, and onboarding of all new sales team and property management members.
  • Recognize the link between specific projects and broad company goals to make actionable goals.
  • Help expand and/or draft new standard operating procedures and policy throughout the year.
  • Serve as a liaison to the Cliffs Resident Outreach and corporate departments, including Marketing, Membership, and HR.
  • Manage Marketing State Registration compliance.
  • Oversee and coordinate calendar of meetings, appointments, and interviews.
  • Prepare accurate and attractive reports, presentations, and spreadsheets using MS Office.
  • Efficiently audit and distribute database reports.
  • Prepare materials in advance of company meetings, business development activities, board meetings, or client/project meetings.
  • Contribute to the team effort in providing high quality, professional, and friendly service to clients/prospects.
  • Cooperate with staff throughout the company and develop productive, strong relationships while maintaining confidentiality.
  • Prepare expense reports as requested.
  • Assist with the scheduling and coordination of sales meetings, training, and events.
  • Make travel arrangements, including accommodations, meeting rooms, and team events.
  • Be proficient in PropertyBase.
  • Curate team events and team-building activities.
  • Assist with long-term strategic planning regarding Cliffs Realty, Cliffs Property Management, and broker relationships.
  • Serve as point of contact when executive is out of office.

Requirements

  • Proven experience as an executive assistant or in other administrative roles.
  • Proficiency in MS Office (Word, Excel, PowerPoint) and PropertyBase.
  • Strong organizational skills and ability to multitask.
  • Excellent written and verbal communication skills.
  • Ability to maintain confidentiality and handle sensitive information.
  • Strong interpersonal skills and ability to build relationships across the organization.
