About the position

As an Executive Sales Assistant at Continental Girbau West, you will play a crucial role in providing administrative and operational support to the Director of Branch Operations and the sales team. You will also be responsible for preparing and organizing documents, presentations, and reports for both internal and external meetings, which will require a keen eye for detail and strong organizational skills. In addition to calendar management, you will assist in the preparation of sales forecasts, performance reports, and presentations, which are vital for tracking the success of the sales team. Your role will also involve coordinating and organizing sales meetings, conferences, and other events, ensuring that all logistics are handled seamlessly. A significant part of your responsibilities will include supporting the sales team by updating the CRM system, tracking leads, and maintaining the accuracy of sales data. This position is ideal for someone who is proactive, detail-oriented, and possesses excellent communication skills, as you will be the key point of contact between the sales team and clients.

Responsibilities

  • Provide administrative and operational support to the Director of Branch Operations and the sales team.
  • Manage complex calendars, including scheduling meetings, appointments, and vendor visits.
  • Assist and support the branch Director with administrative functions.
  • Prepare and organize documents, presentations, and reports for internal and external meetings.
  • Assist in the preparation of sales forecasts, performance reports, and presentations.
  • Coordinate and organize sales meetings, conferences, and other events.
  • Support the sales team by updating the CRM system, tracking leads, and maintaining sales data accuracy.

Requirements

  • Associate's or Bachelor's degree in Business Administration, Marketing, or a related field.
  • 3+ years of experience in an administrative or executive assistant role, preferably within a sales or marketing department, in lieu of a degree.
  • Strong client-facing and interpersonal communication skills.
  • Excellent verbal and written communication skills for interacting with customers and internal teams.
  • Strong follow-up and follow-through ability.
  • Strong time management and organizational skills to accommodate and meet deadlines.
  • Ability to work effectively under pressure in a fast-paced, rapidly changing environment.
  • Proficient in use of MS Office package including Word, Excel, Outlook (email/calendar), and PowerPoint.
