About the position

The Executive Secretary/Administrative Assistant position is a contract role located at 4030 Esplanade Way, Tallahassee, FL 32399, with a pay rate of $21 to $25 per hour. This role is primarily focused on providing high-level administrative support within the telecommunications sector, specifically related to leasing and management of tower leases and agreements. The successful candidate will be responsible for assisting the SLERS Contract Manager and Leasing Manager in managing documents and recording information in a SharePoint filing system. This includes handling various types of leases, such as tower leases, ground leases, and memorandums of understanding with state or local entities. The position requires a thorough understanding of the State of Florida's statutes and rules governing lease management, as well as the ability to maintain accurate records and files. In addition to document management, the Executive Secretary/Administrative Assistant will conduct research, prepare reports, handle information requests, and perform clerical functions. The role also involves preparing correspondence, receiving visitors, arranging conference calls, tracking tasks, preparing agendas, and scheduling meetings. The candidate must possess excellent verbal and written communication skills and be knowledgeable about the State of Florida government business practices. A Bachelor's degree and at least three years of experience in leasing are highly desired qualifications for this position. Furthermore, the candidate must be able to pass a Criminal Justice Information Services (CJIS) background screening, which includes level 2 fingerprinting.

Responsibilities

  • Provide assistance with tower leases, licenses, and use agreements related to equipment on radio towers.
  • Support the SLERS Contract Manager and Leasing Manager in managing documents and recording information in a SharePoint filing system.
  • Conduct research, prepare reports, and handle information requests as part of high-level administrative support.
  • Perform clerical functions including preparing correspondence, receiving visitors, and arranging conference calls.
  • Track tasks, prepare agendas, and schedule meetings while ensuring compliance with State of Florida statutes and rules.

Requirements

  • Bachelor's degree in a relevant field.
  • At least 3 years of experience in leasing or related administrative roles.
  • Ability to pass a Criminal Justice Information Services (CJIS) background screening.
  • Excellent verbal and written communication skills.
  • Experience in researching legal documents and preparing reports.

Nice-to-haves

  • Experience with DocuSign.
  • Experience as a licensed realtor working with leases.
