About the position

The Executive Secretary and Administrative Assistant will provide high-level administrative support to executives, ensuring efficient office operations and effective communication. This role involves managing correspondence, scheduling meetings, and organizing travel arrangements, while maintaining confidentiality and handling sensitive information.

Responsibilities

  • Provide high-level administrative support by conducting research and preparing statistical reports.
  • Perform clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, and organizing travel for Executives.
  • Maintain office supply inventory and manage confidentiality of sensitive matters.
  • Answer and manage phone calls, screening and directing calls to appropriate staff.
  • Perform special assignments, studies, and routine administrative functions as directed.
  • Screen incoming correspondence, refer to appropriate staff, and follow up to ensure timely responses.

Requirements

  • Minimum of three years' experience working directly for an executive as an administrative assistant.
  • Ability to work individually and as part of a team.
  • Strong project management skills, managing multiple time-sensitive, complex projects simultaneously.
  • Excellent verbal communication, writing, and interpersonal skills.
  • Detail-oriented with the ability to organize and prioritize tasks effectively in a fast-paced environment.
  • Proficiency with Microsoft 365, including Excel, Webex, MS Teams, and Zoom.
  • Experience managing travel and business expense reimbursements for senior staff.
