About the position

Red Creek Cardiology is seeking an Executive Secretary to provide comprehensive administrative support to the Chief of Cardiology and the Practice Manager. This role is pivotal in managing the calendars and coordinating meetings for both leaders, ensuring that all scheduling is handled with precision and confidentiality. The Executive Secretary will maintain a high level of discretion and independent decision-making, which is essential in a medical environment where patient confidentiality is paramount. In addition to calendar management, the Executive Secretary will assist in the daily operations of the department by coordinating non-clinical practice activities. This includes anticipating and reporting resource needs to ensure that both patient and provider needs are met efficiently. The role involves regular interaction with a diverse range of customers, including patients, family members, doctor's offices, hospital departments, surgeons, anesthesiologists, and other healthcare providers. The Executive Secretary will perform both routine and non-routine duties in a busy cardiology practice, contributing to the overall effectiveness of the department. The position requires a proactive approach to problem-solving and the ability to handle multiple tasks simultaneously in a fast-paced environment. The Executive Secretary will be expected to present a professional image that fosters respect and cooperation among providers, management, and patients. Excellent communication skills, both written and verbal, are essential, as is the ability to exercise independent judgment and initiative in various situations.

Responsibilities

  • Manage the calendars and coordinate meetings for the Chief of Cardiology and the Practice Manager.
  • Maintain confidentiality and exercise independent discretion in decision-making.
  • Assist in daily department operations by coordinating non-clinical practice activities.
  • Anticipate and report resource needs to ensure efficient patient care.
  • Interact with patients, family members, and various healthcare providers on a daily basis.
  • Perform routine and non-routine clerical duties in a busy cardiology practice.

Requirements

  • Associate's Degree or equivalent experience.
  • Three years of clerical experience, preferably in a medical office setting.
  • Understanding of ESI/HBOC/CIS preferred.
  • Ability to function in a fast-paced environment and handle continuous customer service.
  • Excellent communication skills with the ability to exercise independent judgment and initiative.
  • Attention to detail and ability to prioritize tasks effectively.
  • Proficient in typing accurately and utilizing computer programs.

Nice-to-haves

  • Medical terminology knowledge preferred.
  • Flowcast Master Scheduling skills highly preferred.
