About the position

The Executive Secretary at NYC Health + Hospitals is responsible for providing comprehensive administrative support to executive leadership. This role requires a highly organized and resourceful individual who can manage calendars, coordinate meetings, and handle various administrative tasks efficiently. The position emphasizes a strong work ethic, excellent communication skills, and a commitment to the organization's mission of delivering high-quality health services.

Responsibilities

  • Prepares agenda and assembles materials for meetings and conferences.
  • Manages logistics for team meetings, including room arrangements and document preparation.
  • Reviews calendars for conflicts and makes necessary adjustments.
  • Assists team members with process and calendar-related inquiries.
  • Manages departmental assets and procurement of supplies and services.
  • Prepares correspondence and conducts research as needed.
  • Creates travel arrangements when necessary.
  • Maintains a tickler system for project deliverables.
  • Prepares purchase orders, invoices, and financial statements.
  • Conducts in-depth research on projects and presents findings clearly.

Requirements

  • High School Diploma or equivalent with four years of clerical experience, including two years as a stenographic secretary, or a Baccalaureate Degree with one year of experience, or an Associate Degree in Secretarial Science with three years of clerical experience including one year as a stenographic secretary.
  • Ability to take dictation accurately and transcribe it.
  • Excellent verbal and written communication skills.
  • Ability to exercise discretion and maintain confidentiality.
  • Proficiency in Microsoft Office Suite, particularly Outlook.

Nice-to-haves

  • Hospital experience preferred.
  • Ability to manage multiple tasks efficiently and meet deadlines.
  • Strong critical thinking and judgment skills.
