About the position

The City of Keene's City Manager and Mayor's Office is seeking a detail-oriented professional to join their team as an Executive Secretary. This full-time position is located at City Hall in Keene, NH, and is responsible for providing executive management support through a variety of complex and confidential administrative duties. The Executive Secretary will work directly under the City Manager and will play a crucial role in coordinating activities between the City Manager, City departments, external and internal committees, business and not-for-profit leaders, citizen groups, residents, and officials from both state and federal government. The role involves managing document retention and workflow for both the City Manager and Mayor, as well as supporting electronic record management systems related to the City Manager's functions. The Executive Secretary will assist in the development and implementation of new or updated administrative directives, manage communications by screening and directing calls or queries, and receive complaints, resolving problems within authority while making referrals to other available sources of information. In addition, the Executive Secretary will schedule appointments and coordinate meetings for the City Manager and Mayor, compose and edit correspondence, and various reports, and assist in compiling City publications. Other responsibilities include maintaining calendars of City events and community activities, posting notices and press releases, monitoring important deadlines for senior leadership, performing payroll time entry for City Manager direct reports, and serving as the Staff Liaison to the Partner City Committee. The ideal candidate must be able to respond to rapidly shifting and competing priorities to support both busy offices while maintaining confidentiality.

Responsibilities

Requirements

  • Proficient in using email, scheduling, and word processing software, including advanced document formatting, templates, and mail merge.
