About the position

Wells Fargo is seeking an Executive Specialist to provide advanced and confidential administrative support to the Group Chief Administrative Officer (CAO) and the Head of Global Operations. This role involves interacting with senior leaders and executives, managing complex scheduling, travel arrangements, and various administrative tasks while ensuring confidentiality and professionalism.

Responsibilities

  • Perform heavy calendaring and complex travel planning.
  • Create and edit extensive documents and prepare expense report submissions.
  • Manage meeting logistics, invitations, and facilities.
  • Handle personnel and confidential company materials with sensitivity.
  • Draft complex and/or confidential correspondence.
  • Establish and implement office procedures and controls.
  • Act as an information source on group and company policies.
  • Provide facilities support and floor administration.
  • On-board new team members and coordinate HR administration tasks.
  • Develop relationships with peer Executive Assistants and coordinate team admins across functions.
  • Prepare reports and presentations using MS Office applications and internal databases.
  • Assist with invoice processing and general ledger issues.
  • Review correspondence, reports, memos, and presentations for quality control.

Requirements

  • 2+ years of Executive Administration experience or equivalent.
  • Experience supporting senior level leaders/executives.
  • Experience with calendar management, travel arrangements, and onboarding.
  • Advanced Microsoft Office skills (Outlook, Excel, Word, PowerPoint).
  • Ability to develop partnerships and collaborate with other business areas.
  • Strong organizational, multi-tasking, and prioritizing skills.

Nice-to-haves

  • Experience as an Executive Assistant within the financial services industry.
  • Experience with Wells Fargo systems such as Workday and My Concur.
  • Experience writing and editing internal communications.
  • Ability to execute in a fast-paced environment while balancing multiple priorities.
