About the position

Join Student Affairs at Auburn University and be a part of the team dedicated to elevating the student experience! As the Executive Support Assistant, you'll work closely with the Associate Vice President (AVP) for Student Affairs, playing a crucial role in the seamless operation of key departments such as Auburn Cares, Greek Life, Student Conduct, Student Counseling & Psychological Services, and Parent & Family Programs. You will provide executive support, manage critical administrative functions, and ensure smooth coordination across various offices. With significant direct student interaction and access to sensitive information, your discretion and organizational skills will be vital. Responsibilities

  • Acts as a receptionist for the front office; receives and routes telephone calls and assists office visitors; gathers and distributes important information; assists students, employees, and visitors with questions or directions in person or on the phone.
  • Proficient with standard office equipment such as computers, scanners, fax, etc.
  • Coordinates materials for high profile events, programs, and meetings.
  • Maintains detailed notes and files for all work and ensures materials are organized and efficient.
  • Manages the correspondence for the AVP including the drafting of letters, agendas, and reports.
  • Manages the distribution of roughly 2,000 external letters sent by the AVP annually.
  • Coordinates all events hosted by the AVP including all planning, scheduling, coordination, and implementation for roughly 200 meetings and 20 events annually.
  • Manages all purchasing and budget management for the AVP including providing timely and accurate monthly recordings and reconciling all expenditures in a manner consistent with university guidelines.
  • Schedules meetings, organizes and prioritizes the Associate Vice President's calendar.
  • Makes travel arrangements, processes travel vouchers for reimbursement, assists administrators and completes other assignments as requested.

Requirements

  • High school diploma or equivalent plus 2 years of experience OR Associate's degree OR Bachelor's degree (Level I).
  • High school diploma or equivalent plus 4 years of experience OR Associate's degree plus 2 years of experience OR Bachelor's degree (Level II).
  • Experience in administrative support services.

  • Demonstrated experience in administrative support with an understanding and appreciation for the complex nature of the role.
  • Exceptional writing skills with the ability to draft and proof-read correspondence and reports.
  • Highly organized with the ability to prioritize important tasks.
  • Proactive and a self-starter who anticipates needs and begins work without prompting.
