We are seeking a highly organized, well-established, and detail-oriented Executive Virtual Assistant to join our team. As an Executive Virtual Assistant, you will perform a variety of high-level administrative tasks and support our company's senior-level managers. Senior Executive Assistant's responsibilities include managing calendars, making travel arrangements, and preparing expense reports. The Ideal candidate should be well-organized, have great time management skills, and be able to act without guidance. Ultimately, you will contribute to the efficiency of our business by providing personalized and timely support to executive members. Responsibilities

  • Managing executive emails, scheduling meetings, providing timely reminders, as well as handling travel arrangements to ensure seamless daily operations.
  • Creating and maintaining detailed schedules of events, appointments, and tasks, ensuring optimal time management and prioritization.
  • Conducting thorough online research to support various projects and decision-making processes, providing accurate and relevant information.
  • Writing and maintaining accurate records, compiling and distributing comprehensive reports, and handling other documentation tasks as needed.
  • Planning and coordinating events, as well as managing travel logistics, including booking flights, accommodations, and transportation.

Requirements

  • Diploma in Office Administration or a Secretarial Diploma.
  • Proven experience as an Executive Assistant, Virtual Assistant, or in a similar role.
  • Experience in the telecommunications industry, including understanding FCC regulations, data privacy laws, and cybersecurity issues.
  • Proficiency in legal research databases, document management systems, and possibly experience with telecommunications-specific software or compliance tools.
  • Strong analytical skills, attention to detail, effective communication abilities, and the capacity to work under tight deadlines.
  • Experience in booking travel and making travel arrangements internationally.
  • Strong organizational and time management abilities.
  • Proficiency in Microsoft Office Suite, Google Workspace, and other relevant software.
  • Ability to work independently and handle confidential information with discretion.
  • Strong research skills and attention to detail.
  • Flexibility to adapt to changing priorities and schedules.
