About the position

The Exhibit Planning Specialist is responsible for negotiating, planning, scheduling, and managing national and international events, exhibits, and workshops. This role collaborates with multiple departments to ensure consistent exhibit functions and serves as the main point of contact with vendors. The specialist will manage all aspects of exhibits and events, including budgeting, logistics, and staff coordination, while also mentoring and guiding team members.

Responsibilities

  • Negotiate, plan, schedule, and manage events, exhibits, and workshops.
  • Collaborate with multiple departments for consistent exhibit functions.
  • Coordinate and manage exhibits/tradeshows for various business units.
  • Lead exhibit strategy review meetings with internal product teams and stakeholders.
  • Manage and maintain checklists to ensure timely delivery of assets to vendors.
  • Optimize costs and reduce rush charges as necessary.
  • Manage material and promotional organization for events in partnership with Marketing PMO.
  • Develop floor plans and assist with product allocation and placement for exhibits.
  • Manage expenses and budgeting related to exhibit functions and vendor negotiations.
  • Oversee booth staff and deliverables onsite, including labor and setup details.
  • Maintain workshop logistics including site-selection, food & beverage, and transportation.
  • Train and promote onsite lead taking and champion lead generation best practices.
  • Review booth requirements and suggest new design concepts based on internal customer input.
  • Evaluate technology needs for booth renewals and refurbishing.
  • Provide post-event measurements, analytics, and reports to Exhibit Manager.
  • Mentor and guide Exhibit & Event Coordinators.

Requirements

  • High school diploma or equivalent required.
  • Bachelor's degree in Hospitality, Finance, Business Management or related field preferred.
  • 3 years of experience in a professional environment, preferably in exhibit/event management.
  • General knowledge of orthopedic/medical device industry, marketing, and medical education.
  • Strong customer service and organizational skills; detail-oriented.
  • Proficient in Microsoft Office Suite (Excel, Word, PowerPoint, Outlook).
  • Strong project management skills with the ability to manage multiple priorities.

Nice-to-haves

  • Bilingual in Spanish, German, or Portuguese.
  • Experience with Cvent, Salesforce, and Meetings Management systems.
  • Prior exhibit/event experience.
