About the position

The Exhibition Project Manager at the Philadelphia Museum of Art plays a crucial role in the planning and execution of exhibitions, gallery installations, and special projects. This position requires close collaboration with various departments within the museum to ensure that all projects are completed on time and within budget. The Exhibition Project Manager will be responsible for developing, communicating, and tracking project timelines and budgets for assigned exhibitions, including temporary and traveling exhibitions. This involves proactively adjusting budgets and milestones as the scope of work is finalized, ensuring that all assigned projects stay on schedule and within budget constraints. In addition to project management, the role includes coordinating the implementation of traveling exhibitions. This entails drafting tour prospectuses and managing contracts with exhibition organizing partners, venues, artists, and consultants under the supervision of the Director of Exhibition Planning. The Exhibition Project Manager will also schedule and lead planning meetings with project teams to discuss the status of upcoming projects and ensure effective communication across departments. Budget development and financial analysis are key components of this role. The Exhibition Project Manager will create and monitor detailed budgets for installations and exhibitions, provide budgets for shared costs for traveling exhibitions, and collaborate with the Development and Finance Departments on exhibition grant applications and reports. Effective communication is essential, as the manager will develop and maintain digital systems to facilitate clear information-sharing for gallery installations and exhibitions. Overall, the Exhibition Project Manager is expected to perform other duties as assigned, contributing to the museum's mission and ensuring the successful execution of its exhibitions and projects.

Responsibilities

  • Develop, communicate, and track project timelines and budgets for assigned exhibitions and special projects.
  • Coordinate the implementation of traveling exhibitions by drafting tour prospectuses and managing contracts with partners and venues.
  • Schedule and lead planning meetings with project teams for assigned projects.
  • Help manage the museum's day-to-day exhibition planning calendars and set priorities for gallery rotations and art moves.
  • Lead weekly meetings to review the status of upcoming projects with various departments.
  • Create and monitor detailed budgets for installations and exhibitions, providing final financial reports and invoices.
  • Collaborate with Development and Finance Departments on exhibition grant applications and reports.
  • Develop and maintain digital systems for efficient information-sharing regarding gallery installations and exhibitions.

Requirements

  • Proven experience and success in project management with multiple dependencies and conflicting priorities.
  • Highly organized, detail-oriented, and able to multitask in a fast-paced environment.
  • Resourceful, creative, and positive attitude towards challenges.
  • Ability to work independently and diplomatically with a variety of personalities.
  • Experience with project budgeting and financial analysis.
  • Excellent communication skills.
  • Knowledge of current museum best practices is strongly preferred.
  • Broad working knowledge of registration and conservation practices is helpful.
  • Excellent computer skills with strong command of Microsoft Office suite: Word, Excel, Outlook, and PowerPoint.
  • Experience with Asana, The Museum System (TMS), Financial Edge, Raiser's Edge, and SharePoint preferred.
  • Bachelor's degree or equivalent relevant experience.
