About the position

The Explorers Program Manager is a pivotal role within the Minnetonka Community Education system, tasked with the comprehensive development and administration of a high-quality district-wide childcare program catering to children in grades K-5. This includes overseeing before- and after-school care, non-school day care, and summer programs. The manager will be responsible for the effective operation of the program across six sites, managing a staff of approximately 100 individuals, and ensuring a safe and nurturing environment for around 1,400 children enrolled in the program. The position requires a proactive approach to program management, emphasizing the importance of compliance with district and state guidelines, as well as the implementation of developmentally appropriate practices for children. In this role, the Program Manager will recruit, train, supervise, and evaluate staff and volunteers, ensuring that professional development standards align with district goals. Regular communication with parents and staff is essential, as is the facilitation of bi-weekly meetings with site supervisors. The manager will also be responsible for maintaining accountability in all aspects of the program, adhering to the standards set by the Department of Human Services certification, the school district, and the State of Minnesota. This includes developing and disseminating program guidelines, managing payroll, overseeing attendance records, and collaborating with various departments to ensure the program's success. The Program Manager will also play a key role in marketing the program throughout the district and the community, evaluating participant feedback, and participating in annual community events. A high level of confidentiality and professionalism is expected, along with the ability to perform other related duties as necessary.

Responsibilities

  • Recruit, train, supervise, and evaluate staff and volunteers.
  • Develop and manage staff schedules and assignments, including scheduling substitutes, in accordance with all applicable District and state guidelines.
  • Ensure professional development standards are upheld in alignment with District goals.
  • Facilitate bi-weekly site supervisor meetings, and conduct regular meetings with all staff providing program leadership.
  • Ensure program staff are developing and implementing developmentally appropriate before and after school programming.
  • Responsible for the continual well-being of approximately 1,400 children in the program, which includes individual conferences, as needed, with parents, children and staff.
  • Maintain accountability in all aspects of the program complying with standards and guidelines of Department of Human Services certification, the school district, and State of Minnesota.
  • Develop, implement and disseminate program guidelines with staff and parents.
  • Supervise the design and maintenance of a safe, positive environment which meets the physical, intellectual, emotional and social needs of the children in an inclusive setting.
  • Communicate regularly with parents through written and verbal means.
  • Assist in marketing program throughout the District and the community; evaluate participant surveys.
  • Manage payroll; oversee time off schedule for staff.
  • Establish room schedules in collaboration with building leadership and Buildings & Grounds staff; update facility permits as needed.
  • Oversee movement of equipment to and from summer sites.
  • Oversee attendance records, field trip arrangements, supply expenditures, program registration and the billing process.
  • Assist the Assistant Director with required reporting on the program as necessary.
  • Collaborate with Nutrition Services in developing menu and schedule for breakfast and snacks for all sites, in accordance with budget.
  • Participate in annual Community Ed activities, including family Explorers events and including Youth Triathlon, Tour de Tonka and Fall de Tonka.
  • Maintain a high level of confidentiality and professionalism.
  • Perform other duties of a similar nature or level.

Requirements

  • B.A. or B.S. in education, youth development, or a related degree.
  • Proven competencies in staff management and supervision including staff evaluation and training.
  • Evidence of successful experience in program planning and program leadership.
  • Knowledge of best practices in the school age childcare field.
  • Certificate in First Aid and CPR (can be completed after hired).
  • Evidence of excellent communication and organizational skills.
  • Evidence of the ability to work with a minimum of supervision, to prioritize and handle multiple tasks.
  • Demonstrated ability to maintain a high level of professionalism and confidentiality.
  • Demonstrated ability to uphold policy.
  • Experience in the creation of processes and protocol for large organizations to ensure compliance with policy.
  • Strong interpersonal skills as applied to interaction with coworkers, supervisor, the general public, etc.

Benefits

  • Minimum starting salary $65,000 with actual placement dependent upon experience and qualifications.
