About the position

The Export Documentation Manager is responsible for managing and executing documentation for reports and clients in the export and import sector. This player-coach role involves overseeing the export documentation team, ensuring compliance with regulations, and maintaining high standards of customer service. The position requires effective communication with clients and vendors to guarantee accurate documentation and timely shipment releases.

Responsibilities

  • Manage, review, coach up the export documentation team.
  • Institute key metrics to ensure department success.
  • Streamline in-house processes.
  • Help to continue to build a team-oriented atmosphere.
  • Obtain essential shipment data from clients to start the documentation process.
  • Communicate daily with clients and vendors to ensure all documentation is accurate and submitted.
  • Create Phytosanitary Certifications to be compliant with USDA regulations as well as those in the country of destination.
  • Create Letters of Credit as well as Direct Collection Letters for clients.
  • Be well versed in different banking terminology in order to accurately complete documents.
  • Send all original documentation to destination country so that the client's cargo can be released without delay.
  • Create Bills of Lading with all accurate shipment details to send to vendors and clients.
  • Promote customer focus and establish customer service standards; provide training in customer service delivery; monitor customer satisfaction; develop new approaches to meeting customer needs.
  • Express ideas and thoughts verbally and in written form; exhibit good listening and comprehension; keep others adequately informed; select and use appropriate communication methods.

Requirements

  • International Ocean/Air Export experience in the freight forwarding industry.
  • Prior management/leadership experience.
  • Strong organizational skills with the ability to prioritize tasks to ensure that deadlines are met.
  • Good communication skills, especially when delivering information to customers and team members.
  • High attention to detail.
