About the position

The Facilities Coordinator at CL Visual is responsible for ensuring smooth and efficient operations across various departments, including Printing, Installation, and Production/Finishing. This role involves overseeing facility maintenance, addressing maintenance issues, and ensuring a safe working environment. The Facilities Coordinator collaborates with the General Manager and other team members to implement standard operating procedures, manage budgets, and lead safety initiatives.

Responsibilities

  • Oversee daily facility operations and coordinate with vendors and service providers to ensure a safe working environment.
  • Ensure all equipment is functional and safe, managing routine maintenance and repairs with timely completion.
  • Collaborate with vendors on maintenance and improvement projects (e.g., HVAC, plumbing, electrical).
  • Act as a liaison between the Office Manager, General Manager, employees, and vendors.
  • Contribute to the development and enforcement of safety policies, ensuring a safer workplace.
  • Lead Safety Committee and run all safety meetings and training throughout the entire company.
  • Conduct weekly department meetings and daily team huddles.
  • Assist with setup and breakdown for meetings and events, coordinating special facility needs with the Office Manager and/or General Manager.
  • Support budget tracking and document ongoing projects for timely task completion with specific departments.
  • Manage employee schedules in relevant departments.
  • Ensure compliance with OSHA and forklift certifications.
  • Coordinate all logistics for incoming and outgoing deliveries and shipments.
  • Respond swiftly to facility-related emergencies and coordinate appropriate actions.
  • Maintain traffic management of the Print Room Trello board, ensuring all cards are attended to in a timely manner.
  • Perform other related duties as assigned.

Requirements

  • A minimum of three years of relevant experience is required.
  • Strong verbal and written communication skills, along with excellent time management.
  • Proven supervisory skills.
  • Proficient in Microsoft Office Suite, Trainual, Trello, or similar management software for creating and maintaining reports and logs.
  • Fluent in Spanish and English.
  • Exceptional organizational skills and attention to detail.
  • Ability to develop and implement processes.
