About the position

The Facilities Operations Coordinator will support the facilities management team by performing various administrative and operational tasks. This role involves extensive use of SAP for managing purchase orders, invoices, and employee records, as well as updating floor plans using AutoCAD. The coordinator will also handle meeting room bookings, timesheet entries, and provide support for security and financial data management.

Responsibilities

  • Extensive use of SAP to develop spreadsheet documents and support findings.
  • Manage meeting room bookings and timesheet/expense entries.
  • Provide facilities systems support and update databases for staff changes.
  • Handle team correspondence and other administrative duties.
  • Work with employees, contractors, and vendors to provide security, financial, and payment data.
  • Perform backup badging activities related to access security for employees and contractors.
  • Manage employee records, including security access assignments and notifications of terminations.
  • Monitor project budgets and costs using SAP, including creating and tracking purchase orders and invoices.
  • Update floor plans using AutoCAD for various locations and prepare uploads into Planon.
  • Act as a backup for Planon management in Houston and Charleston.

Requirements

  • High School Diploma or GED required.
  • 2-5 years of progressive experience in a related field.
  • Advanced computer skills, particularly with Excel, MS Word, and SAP.
  • Working knowledge of Planon and Genetec is an asset.
  • Excellent interpersonal, organizational, oral, and written communication skills.
  • Strong analytical skills and attention to detail.
  • Experience with invoice payment and budget tracking.
  • Ability to prioritize work and manage competing priorities under tight deadlines.
  • Self-starter who can work with minimal supervision.

Nice-to-haves

  • Certification or working experience in AutoCAD.
  • Experience within the Energy industry.
  • Experience with security badging and overseeing small projects.
