About the position

The Facilities Operations Coordinator is responsible for overseeing the administrative and managerial functions of the department's maintenance and property control operations. This role involves planning and directing various operations, including central supply and building services. The coordinator will develop procedures and systems to effectively manage and maintain department buildings, equipment, supply inventories, and security personnel. This position requires direct supervision over assigned staff, ensuring that all operations run smoothly and efficiently. In this role, the coordinator will prepare and monitor the division's annual budget, perform frequent site inspections of buildings and facilities, and develop and maintain inventory control procedures. The coordinator will also control the acquisition and allocation of space in assigned facilities, coordinate security operations, and implement departmental capital improvements. Additionally, the coordinator will prepare purchase requisitions, consult with Chiefs and Division Heads to resolve supply and maintenance issues, and present reports to department management. The Facilities Operations Coordinator will also be involved in developing plans and schematics for new construction and renovation projects, reviewing architectural drawings, and managing the receipt and distribution of equipment and supplies. This position requires the ability to develop work schedules and assignments for staff members and perform related duties as necessary to fulfill the responsibilities of the role.

Responsibilities

  • Prepares and monitors the division's annual budget.
  • Performs frequent site inspections of buildings and facilities, which includes sitting, kneeling, and reaching to detect the need for changes and improvements.
  • Develops and maintains inventory control and monitoring procedures.
  • Controls the acquisition and allocation of space in assigned facilities.
  • Coordinates security operations for all assigned facilities.
  • Coordinates the implementation of departmental capital improvements.
  • Prepares all purchase requisitions.
  • Consults with Chiefs and Division Heads to resolve supply, equipment, and maintenance problems.
  • Prepares, reviews, and presents reports to Department management.
  • Develops plans, drawings, and/or schematics for new construction and renovation projects.
  • Coordinates activities with other divisions and outside agencies.
  • Reviews architectural drawings and plans for building improvements and repairs.
  • Manages the receipt and distribution of equipment and supplies to all facilities and operations.
  • Manages the maintenance and cleaning of department buildings and grounds.
  • Develops work schedules and assignments for staff members.
  • Performs related duties and fulfills responsibilities as required.

Requirements

  • Bachelor's Degree from an accredited college or university.
  • Three (3) years of increasingly responsible experience in facility operations management or supervisory responsibility in a large, decentralized system.

Nice-to-haves

  • Experience in a construction environment coordinating with consultants and contractors regarding project cost estimating, scheduling, and scope definition and negotiation.
  • Experience with document control and document management.
  • Knowledge of Maintenance Trades such as Mechanical, HVAC, Plumbing, Carpentry and Electrical.
  • Experience responding to preventative and reactive maintenance service calls.
