About the position

The Facilities Operations & Site Coordinator at the Haas School of Business, University of California Berkeley, is responsible for coordinating and monitoring maintenance and service requests for assigned facilities. This role serves as a liaison between various departments and Campus Facilities Services, ensuring effective communication and timely completion of tasks. Responsibilities

  • Coordinates, monitors and tracks all maintenance, custodial, grounds, and other service requests by Campus Facilities Services and outside vendors.
  • Staffs Facilities dispatch counter and telephone during business hours.
  • Provides administrative support to the Facilities Unit.
  • Acts as the go-to person for all Haas facilities-related inquiries.
  • Manages the fixit@Haas mailbox and processes work orders.
  • Enters updates daily into CMMS work orders and communicates directly with customers via Fixit@Haas and ServiceNow.
  • Assists Facilities Manager in coordinating office moves for staff and faculty.
  • Maintains accurate records of access control activities and manages key distribution.
  • Works with onsite contractors to coordinate work schedules and track progress.
  • Trains and supervises 1-2 student workers in administrative tasks and work order processing.
  • May act as Building Coordinator for emergency preparedness and communication liaison between campus service agencies and building occupants.
  • Maintains compliance with OSHA/EH&S regulations and implements safety policies.

Requirements

  • Bachelor's degree in a related area or equivalent experience/training.
  • Working knowledge of facility maintenance practices and procedures.
  • Understanding of safety and emergency preparedness protocols.
  • Strong organizational skills to manage multiple projects and deadlines.
  • Excellent written communication skills for preparing reports and training documents.
  • Ability to work independently and as part of a team.
  • Interpersonal skills to promote diversity, equity, inclusion, and belonging.

Nice-to-haves

  • Experience with ServiceNow and CMMS systems.
  • Knowledge of budgeting processes.
